Grass pitches for hire

The council has several grass pitches available for hire around the district.
For Football, these pitches are at:
  • Milken Lane, Ashover – Pitch A and Pitch B – administered for Parish Council
  • Sharley Park, Clay Cross – Pitch A, Pitch B and Jacksons Field Pitch C
  • Egstow Playing Field, Furnace Hill Road, Clay Cross – one pitch
  • Hepthorne Lane, North Wingfield – one pitch – administered for Parish Council
  • King George V Playing Field, Dark Lane, North Wingfield – Pitch A, Pitch B and Pitch C – administered for Parish Council
  • Hardwick Drive, Arkwright Town – one pitch
    Unstone Playing Field, Crow Lane, Unstone – one pitch
For Cricket, these pitches are at:
  • Milken Lane, Ashover – Pitch A and Pitch B – administered for Parish Council
  • Sharley Park, Clay Cross – top pitch and Jacksons Field
  • Egstow Playing Field, Furnace Hill Road, Clay Cross – one pitch

  1. Clubs requiring pitches must register with the Streetscene Department (Grounds Maintenance Section) on the appropriate form which is obtainable from the Rotherside Depot, Rotherside Road, Eckington, Derbyshire , S21 4HL or by email groundsmaintenance@ne-derbyshire.gov.uk. Football pitch applications must be received by not later than 4th July each year and Cricket pitch applications by not later than 6th February each year. Applications received after the required submission date may be unsuccessful as pitches may have been allocated teams.
  2. The Council have determined that dates for the first and last game of each respective season, these are: (a) Cricket – 1st Weekend in May until last weekend in August (b) Football – 1st Weekend in September until last weekend in April. Should any fixtures be booked beyond the extent of the specified season then the Council shall reserve the right to extend the season window at our discretion.
  3. The Council shall refuse applications for pitches which fail to meet requirements under the terms of letting arrangements. This includes pitches allocated on a Parish Council owned grounds administered by the District Council the Parish Council.
  4. Clubs allocated the use of a pitches will supply copies of fixture lists to the Service Administrator; these may be emailed or posted to the addresses set out below. Fixture lists will be supplied at least two weeks prior to commencement of the season. All amendments and / or additional fixtures must be notified at least seven calendar days prior to the fixture date. Cancelled or postponed fixtures, except for reasons of ground conditions, shall also be notified at least seven calendar days prior to the fixture. Schedule Failure to do so will result in the club being charged for full hire rates as though the match was played. Any club not supplying fixtures for the season will result in the pitch not being marked out, and will be reported to the relevant League.
  5. Where a club has been allocated the use of a pitch, it shall not sub-let/lease the pitch and allows it to be used by any other club without the express permission of the Council.
  6. Where the Council is not informed of fixtures or where a club has cancelled the use of a pitch, the Council may allocate the pitch to another club.
  7. All pavilions and like buildings shall not to be used for the preparation of food including tea/coffee etc, or the storage of perishable substances, without prior authorisation of the Council.
  8. Clubs must first register with the Environmental Officer under the Food Premises (Registration) Regulations 1991 before written permission will be considered. All clubs in breach of the above lend themselves to forfeit all use of the facilities without refund.
  9. Smoking is strictly forbidden in the pavilions and changing facilities. If members of the public smoke in a smoke free building they will be liable to a £50.00 Fixed Penalty Notice or a £200 fine and the use of the facilities will be withdrawn from the clubs use.
  10. A club allocated the use of a pitch and dressing accommodation will be held responsible for any damage to the equipment or dressing accommodation used in connection with the game and will be required to pay for any damages resulting from misuse. Clubs will be responsible for ensuring that facilities are left in a clean debris free condition. Failure to undertake this may result in the facility being withdrawn.
  11. The Council accept no responsibility or liability for loss of or damage to any articles left in the facilities. Officers of the Council are not authorised to receive payments or take charge of money, jewellery, or any other personal belongings in any circumstances.
  12. All clubs must observe Bylaws governing recreation grounds and terms of facility lettings. Where failure to meet these arises offending clubs and / or their players may be debarred from further use of facilities.
  13. A deposit of £16.00 will be charged per key for pavilions, this will be reimbursed when keys are returned to the Council after fixtures or at the end of the season, whichever is applicable.
  14. Football clubs should note that the charge does not include for goal nets and corner flags for which clubs are required to make their own arrangements.
  15. The hirer shall insure against death or injury to third parties and damage to property belonging to third parties out of use of the ground and/or changing rooms by reason of the hiring and shall produce to the Council an insurance policy covering the risks referred to at least fourteen days before the date of hiring, together with the renewal receipt in respect of the premium payable for the current period of insurance. Third Party Liability Cover of £2 million is required. Any team not supplying an insurance policy to the Council before the first match of the season will not be allowed to use the facilities. All teams that are insured through their respective league will still provide copies of their policy document and schedule.
  16. Charges for the use of pitches and changing facilities are set out by the Council. Charges will be invoiced as soon as facilities are allocated. No refund will be made for the hire of a pitch should the club defaults on its fixture list or withdraws from the League.
  17. Invoices for the hire of facilities will be sent out prior to the season; the cost maybe split into two invoices at the request of the club.
  18. First payment must be paid for football facilities by 31st October 2023 and the second invoice by 31st January 2024. First payment for cricket facilities must be paid by 31st May 2024 and the second by 31st August 2024. Please tick the box on the application form for the preferred payment arrangement. Failure to pay the fees by the date shown will result in the use of facilities being withdrawn.
  19. Clubs shall ensure that vehicles are parked within designated off street parking areas where provided; and in the absence of such, clubs are required to give due consideration to the public and avoid parking on footpaths and causing obstruction and nuisance to highway users, general public and surrounding properties...
  20. All teams as part of the hire agreement shall be required to complete an online form confirming understanding of the rules and regulations.

Pavilion/changing facilities are available for some pitches. Pavilion hire on Parish Council pitches is administered by the Parish Clerk.
